Several times a month we receive queries from potential clients about how we are able to guarantee the privacy of sensitive medical data sent to us for our French medical translations. What personal data do we process in our French medical translations?

With a translation agency, you would normally send your personal document to the agency for translation (1st party); the agency would then send the document to a translator (2nd party); after completion of the translation the document would then be sent to a reviewer to proofread the document (3rd party). This entire process is conducted online. As you can see, the risks of potential accidental disclosure of your personal data are accentuated by the fact there are often three parties involved. However, this is taking into account the fact that the first translator and proofreader are available and accept the project - often a translation agency will solicit a number of translators for the same project, and potentially send your documents to all of them first.
Here at French Medical Translators, all of your personal medical data is safe and nothing is sent to third-parties
We operate differently. When you send us your French medical document for translation (whether this be a birth certificate, death certificate, lengthy medical records, etc.) the document is received by myself. I then consult the document and confirm with you whether or not I can take on the project, issuing a quote including the proposed price and turnaround time. If you do not wish to proceed, I simply delete the email chain and files. If you wish to proceed, the files are stored locally on my own hard disc drive and the translation is performed off-line, using my own in-house computer system. Only myself works on your project and all translation, reviewing and proofreading is performed by one party.
What this means is that we massively reduce the potential number of parties who view your personal medical data. Once the project is complete, we then return your files to you, and after one month we then delete all files and data. Since nothing is sent out to any external third-parties, once this data is deleted, there is no other potential data trail meaning your personal data is safe and secure with us.
We offer to sign non-disclosure agreements for your personal medical data
We also offer and agree to sign non-disclosure agreements with some clients. Just recently, I performed a translation of some lengthy and highly-sensitive French medical records for a patient in France originating from the USA. She was very keen to ensure that nothing was disclosed and asked me to sign an NDA before taking on any translation. I agreed to sign the document and this created a further sense of security as there was a legally binding protection mechanism regarding all of my client's personal data. Not only is this important for peace of mind and data security, but it also leads to further reassurance during a very difficult time regarding your health and medical condition.

Thanks to this NDA, my client was able to securely send all of her French medical records to me for translation in the knowledge that they would only be translated by myself, nothing would be shared online and would be deleted on her request a few days after receipt of her final translation.

All of my translations, without any exception, are performed by myself personally and off-line. This means that your documents are never uploaded to any machine translation tool, nor is any AI system used to assist me in the translation.
